About Activating Change
Activating Change’s mission is to end victimization, criminalization, incarceration, and institutionalization of people with disabilities and Deaf people. People with disabilities and Deaf people are victimized, criminalized, and incarcerated at disproportionately high rates in the United States, and the rates are even higher for people with disabilities and Deaf people from communities of color. But they have long been excluded from the solutions to these problems. Activating Change centers people with disabilities and Deaf people and the safety and justice issues they face in social justice movements.

We believe disability, survivor advocacy, and criminal justice reform movements play critical roles in securing freedom and safety for people with disabilities and Deaf people. Yet, none of these fields are currently working to systematically address the high rates of victimization, over-policing and over-incarceration of people with disabilities. These fields are disconnected, often mis-aligned, and lack the capacity needed to work together toward collective impact. We foster alignment around disability and racial equity, build capacity, and support greater coordination across these social justice movements to realize our goals of freedom and healing – not harm and punishment - for people with disabilities and Deaf people.

About the Position
The Administrative Assistant is an integral member of Pathways to Healing program area and provides administrative support to the Senior Managing Director who is responsible for leading our survivor-centered initiatives. The support provided ensures that our programming areas have the highest impact in improving services and supports for survivors with disabilities and Deaf survivors. This position is ideal for a highly organized, detail-oriented individual with a strong interest in an administrative career and a commitment to disability and racial justice. What You'll Do

Administrative Support
  • Managing the calendars, including making appointments and prioritizing the most sensitive matters for assigned staff.
  • Completing bi-weekly external meetings form to communicate Directors’ meetings with external players.
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the Director’s behalf.
  • Organizing meetings, including scheduling, sending reminders, and sending post-meeting notes.
  • Complete and process expense reports for the Director’s reimbursements and travel per diems.
  • Complete travel requests for the Director and ensure that travel requests are processed.
  • Track administrative deadlines and requirements and ensure the Director has these flagged with sufficient notice for timely completion of any necessary tasks.
  • Manage internal and external requests, including routing materials for signature, sign off, or approval.
  • Maintain files and folders in the shared drive.
  • Maintain and update list of contacts for grantees, funders and other key players.
  • Assist with tracking technical assistance delivery.
  • Track time spent by Director on contractual projects.
  • Request ASL interpreters for internal meetings with Deaf team members.
Communication, Team Building, and Culture
  • Contribute to a culture where staff, partners, and consultants - particularly those who identify as Black, Indigenous, and/or People of Color with disabilities - can thrive. 
  • Integrate anti-racist and anti-ableist analyses and practices within the Administrative Assistant position and support them across the organization.  
  • Foster equity, accessibility, and community care internally and externally. 
  • Other duties as required to ensure our programs run efficiently.

Required
  • At least 2 years of experience providing similar administrative support. 
  • A passion for Activating Change's mission.
  • A deep commitment to racial equity and disability and language justice and the ability to apply a racial and disability equity analysis to all the position responsibilities. 
  • Exceptional organizational skills, with an ability to keep the big picture in mind while ensuring all the little things are taken care of.
  • Excellent communication skills, including written communication, and demonstrated experience communicating with people from a wide range of communities and experiences.
  • Ability to juggle multiple tasks and comfortable working with evolving priorities and timelines.
  • Flexibility, creativity in problem solving, and patience.
  • Excellent calendar management skills, including the coordination of complex calendars and meetings.
  • Ability to thrive in a remote work environment: self-directed; proactively reaches out, responsive, comfortable in a virtual setting. 
  • Excellent computer skills, experience with document sharing, maintaining document file systems, and navigating online submission processes and protocols.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and a willingness to learn new technologies and tools (Monday.com, SharePoint, OneDrive, etc.).  

Preferred
  • Lived experience as a person with a disability or Deaf person, a survivor of crime or person with lived experience with the criminal legal system, including incarceration.
  • Familiarity with Project Management software.
  • Fluency in English and a second language, especially American Sign Language. 

Compensation and Benefits
The salary range for this position is $52,500 - $54,600. Actual salaries will vary depending on factors including but not limited to experience and performance. The salary range listed is just one component of Activating Change's total compensation package for employees. Supporting Activating Change staff—both personally and professionally—is a priority.
